How Are Tracking Entries Created?
New shipments can be registered in the RFInD system in several ways. In most cases, your existing workflow changes little or not at all.
Overview: Three Ways to Assign Tracking
Each new shipment needs to be assigned to an RFID tag so it can be tracked through the system. There are three ways to do this — depending on your existing infrastructure and preferences:
1. Passive Assignment (Labeling Area)
No workflow change required
Pallets are placed in a labeling area. The RFID reader at the labeling station automatically reads the tag and assigns it to the correct shipment based on your existing system.
How it works:
- Pallet is placed in the labeling area as usual
- The station's RFID reader passively reads the tag
- The system automatically identifies which shipment belongs to the pallet (based on your existing workflow)
- Tag is assigned to the shipment — done
Advantage: Your existing workflow doesn't change. Assignment happens automatically in the background.
2. Handheld Scanner with Mobile App
Flexible & mobile
Employees can manually assign pallets to a shipment using the RFInD mobile app and an RFID handheld scanner. Ideal for flexible work environments or when no fixed labeling area is available.
How it works:
- Open the mobile app and select the shipment
- Read the pallet's RFID tag with the handheld scanner
- Confirm the assignment — done
Advantage: Works anywhere in the warehouse, no fixed installation needed.
3. RFID Label Printer
No workflow change if you already print labels
If you already print labels for your pallets, you can simply switch to an RFID-enabled label printer. The printer automatically writes shipment information to the RFID chip in the label.
How it works:
- Replace existing label printer with an RFID printer
- Label is printed as usual
- The RFID chip in the label is automatically written with shipment data
- Apply label to pallet — done
Advantage: Zero workflow change — you simply print on a different printer and automatically get RFID tracking.
Which Method is Right for You?
| Criteria | Passive Assignment | Handheld Scanner | RFID Printer |
|---|---|---|---|
| Workflow Change | ✅ None | ⚠️ Minimal | ✅ None* |
| Speed | ✅ Automatic | 🔄 Manual | ✅ Automatic |
| Flexibility | 📍 Fixed area | ✅ Anywhere | 📍 At printer |
| Ideal for | Standard workflows | Flexible environments | Existing label printing |
* If you already print labels — only the printer is swapped.
What Happens After Assignment?
Once an RFID tag is assigned to a shipment, the pallet is tracked automatically:
- 🚛 Gate passages: Automatic detection at entry and exit
- 🔄 Multi-warehouse sync: Location is updated across all warehouses
- 📊 ERP integration: Data is automatically written back to your system
- 📱 Mobile app: Real-time location available anytime
- 🤝 Partner access: Your partners can track shipment status
